Privacy Policy

This policy explains how Socena handles personal information and customer workspace data across its web and mobile services.

Who we are

Socena Pte. Ltd. ("Socena", "we", "us") provides managed financial, document, workflow, and collaboration services to organisations. An organisation normally controls the workspace it provides to you and decides who may access it.

Questions or privacy requests can be sent to [email protected]. Where your organisation controls the relevant data, we may refer your request to its authorised administrator.

Information we handle

  • Account and profile information, including name, email address, organisation, role, and authentication records.
  • Documents and workflow content you submit, including scans, images, PDFs, financial information, extracted text, metadata, tasks, and messages.
  • Security and device information, including session, audit, IP-derived country, device registration, notification token, and access-control events.
  • Operational information needed to deliver and protect the service, including request, delivery, error, performance, locale, and timezone data.
  • Information you include when asking for support or reporting content.

Socena does not use this information for cross-service advertising and does not sell personal information. The iOS app does not use an advertising identifier or track users across apps and websites.

Why we use information

We process information to:

  • authenticate users and connect them to the correct managed workspace;
  • provide document capture, processing, collaboration, reporting, notifications, and related workflows;
  • maintain account isolation, permissions, auditability, availability, and fraud or abuse prevention;
  • diagnose failures, improve reliability, respond to support requests, and satisfy legal obligations; and
  • administer our agreements with customer organisations.

Service providers and disclosure

We use carefully selected infrastructure, hosting, database, email, notification, security, and support providers to operate Socena. They may process information only to supply their services to us and under appropriate contractual and security controls.

We may disclose information when instructed by the organisation controlling a workspace, when required by law, to protect users and the service, or as part of a properly governed corporate transaction. We do not disclose one customer's workspace data to another customer.

Storage, retention, and international transfers

Information may be processed in countries where Socena or its providers operate. We use contractual, technical, and organisational safeguards appropriate to the information and the service. We retain information for the period required by the customer agreement, the workspace's retention settings, security and audit needs, and applicable law. Backup and audit records may remain for a limited period after active data is removed.

Security

Socena uses access controls, encryption in transit, protected credential storage, tenant and account isolation, audit records, and operational monitoring. No system is completely secure; please report suspected unauthorised access promptly through our Support page.

Your choices and rights

Depending on applicable law, you may request access, correction, deletion, restriction, export, or objection. Contact your organisation's administrator or email [email protected]. We may need to verify your identity and authority before acting. Organisation administrators manage account creation and deactivation; the Socena iOS app does not offer public account creation.

Updates

We may update this policy as the service or law changes. The current version and effective date will remain available at this URL. Material changes will be communicated through an appropriate service or customer channel.
